You have decided you want a bus for your wedding. Smart move. Now comes the question almost every couple asks next: what size do we actually need?

Get it right and your guests travel comfortably, your costs are sensible, and the logistics run smoothly. Get it wrong and you are either paying for empty seats or squeezing people in. This guide walks you through how to choose between a wedding minibus and a coach, based on your guest numbers, your route, and what kind of day you are planning.

The Two Main Vehicles for Weddings at Busify

We operate a range of vehicles, but for weddings the two we use most are the 27-seat minibus and the full-size coach seating 53 to 57 passengers. These cover the vast majority of wedding requirements — and all of our wedding vehicles are Premium or Luxury class. We do not put wedding groups in Economy vehicles. The finish, the comfort, and the presentation matter on a wedding day, and our fleet reflects that.

The Minibus — Up to 27 Passengers

Our 27-seat minibus is the go-to choice for smaller weddings or when you only need to move a portion of your guest list. They are easier to manoeuvre on narrow country roads, can access venues that larger coaches cannot, and feel more intimate for smaller groups. For a bridal party transfer or a shuttle for guests who need a lift back to the city at the end of the night, a minibus is often all you need.

The Coach — 53 to 57 Passengers

Our full-size coaches seat between 53 and 57 passengers depending on the vehicle. These are the right choice when you want to move a large portion of your guest list in one go — or when you want everyone arriving together for that shared moment of pulling up to the venue. For a Yarra Valley or Mornington Peninsula wedding where the majority of guests are travelling from Melbourne, a coach makes the logistics significantly simpler.

How to Work Out What You Need

Start with these three questions before you do anything else.

1. How Many Guests Need a Lift?

Not every guest will need transport. Some will drive, some will stay nearby, and some will make their own arrangements. A realistic estimate is usually 50 to 70 per cent of your total guest list depending on how remote your venue is and how far your guests are travelling.

  • Under 27 guests needing transport: one minibus
  • 28 guests or more: one coach — as soon as your numbers go above 27, a single coach is almost always more cost-effective than running two minibuses. You get more seats, one driver, one vehicle to coordinate, and a lower total cost.
  • Large weddings with guests from multiple pickup points: a coach for the main group plus a minibus for a secondary route

2. Are You Doing One Trip or Multiple Runs?

A minibus can make multiple runs where a coach would only do one. If your venue is close to Melbourne and you have a flexible timeline, two runs in a 27-seat minibus can move 54 guests just as effectively as a single coach — and sometimes at a lower overall cost. If timing is tight or your venue is an hour away, a single coach run keeps things cleaner.

3. What Is the Route Like?

This matters more than people expect. Some of Victoria’s most beautiful wedding venues sit at the end of narrow vineyard roads, steep driveways, or tracks that a full-size coach simply cannot navigate safely. If your venue is in the Yarra Valley hills, on the Mornington Peninsula, or on a rural property, check with your venue coordinator before assuming a coach can get in. Common Wedding Day Scenarios

The Ceremony to Reception Shuttle

If your ceremony and reception are at different locations, a shuttle between the two is often the most popular use of wedding transport. Guests do not need to find parking twice, nobody gets lost, and everyone arrives at the reception together. For most Melbourne weddings where ceremony and reception are within 30 to 45 minutes of each other, a minibus works well for groups under 27. Larger groups or longer distances lean towards a coach.

The City to Venue Transfer

For Yarra Valley, Mornington Peninsula, or regional venue weddings, the most common request is a return coach from a Melbourne pickup point — usually the CBD or a convenient train station — to the venue and back at the end of the night. A 53 to 57-seat coach is ideal here because it consolidates a large group into one vehicle, simplifies logistics for your guests, and means nobody is driving on unfamiliar country roads after a long day.

The Bridal Party Transfer

Getting the wedding party from the hotel or home to the ceremony is a different job to moving 60 guests across the Yarra Valley. For bridal party transfers, a smaller minibus is usually the better choice — it is easier to coordinate, fits into tighter city streets, and feels more personal for a group of 10 to 20 people.

The End of Night Return

Late night returns are one of the most practical reasons to book a bus for your wedding. If your venue has a hard finish time or your guests are staying in the city, a return run at the end of the night means nobody is scrambling for rideshares or driving home after an open bar. For smaller weddings or guests who want to leave at different times, a minibus on standby works well. For a full venue clearance, a coach gets everyone out cleanly.

Does Vehicle Class Change the Capacity?

No. Whether you choose Premium or Luxury, the seat counts stay the same. What changes is the age of the vehicle, the level of finish, and the onboard features. A Luxury coach still seats 53 to 57 passengers — it just does so in newer seats with better air conditioning, individual reading lights, and a more polished interior.

For weddings, all Busify vehicles are Premium or Luxury class. Premium vehicles are between 8 and 18 years old and offer a comfortable, well-presented ride. Luxury vehicles are under 7 years old with the newest finishes, reclining seats, individual climate control, and panoramic windows. For couples where the journey is part of the experience — particularly for longer runs to the Yarra Valley or Mornington Peninsula — the Luxury class makes a noticeable difference to how guests feel from the moment they step on board.

A Few Things Worth Knowing Before You Book

Book early for weekend dates, particularly during the spring and autumn wedding peaks in October, November, March, and April. Both minibuses and coaches fill up quickly during those months and leaving it too late limits your options.

If you are considering multiple vehicles — say, a coach for the main guest transfer and a minibus for the bridal party — we can coordinate both from a single booking. It is often easier than managing two separate arrangements.

Can we split guests across a minibus and a coach?

Yes, and it is a common arrangement for larger weddings with guests travelling from different suburbs. A coach handles the main group from a central city pickup while a minibus covers a secondary route. We can coordinate both vehicles together.

What if our guest numbers land in the gap between 27 and 53?

For groups of 28 to 52, the options are two minibuses running together or a single coach with some empty seats. Which is better value depends on your timeline and route. Two minibuses give you flexibility; a single coach is simpler to coordinate. Get a quote for both and compare.

Do you offer one-way transfers or only return trips?

Both. Some couples only need guests transported to the venue with guests making their own way home. Others need a full return. We quote based on your specific requirements.

How far in advance should we book?

For weekend weddings during October, November, March, and April, we recommend at least two to three months ahead. For less popular dates or weekday weddings, there is generally more flexibility — but earlier is always better for peace of mind.

Can a full-size coach access Yarra Valley and Mornington Peninsula venues?
